Job Title: Executive Office Manager
Location: Newark, DE
Schedule: Monday-Friday, 7:30 AM-4:00 PM (occasional flexibility as needed)

Position Overview: We are seeking an experienced and highly organized Executive Office Manager to oversee day-to-day operations for a small engineering firm in Newark, DE. This position plays a key leadership role in supporting company ownership, managing administrative functions, and ensuring smooth coordination across all departments. The ideal candidate is professional, composed under pressure, and able to balance structure with approachability - creating a supportive and well-organized environment for the team.

Job Duties:
*Oversee daily office operations and serve as the primary administrative leader for a team of 10 employees
*Manage bookkeeping, invoicing, accounts payable/receivable, and financial reconciliations in QuickBooks
*Support company leadership with scheduling, meeting coordination, and day-to-day financial management (bills, taxes, and audits)
*Prepare and maintain accurate documentation, records, and reporting for company operations
*Lead implementation and enforcement of company policies, promoting accountability and consistency
*Maintain inventory management systems and office supply organization
*Conduct weekly one-on-one meetings with ownership to review priorities and progress
*Coach and train team members to strengthen internal processes and improve workflow efficiency
*Assist in planning and preparation efforts for long-term business growth

Qualifications & Experience:
*8+ years of experience in office management, administration, or business operations (engineering or professional services background preferred)
*Strong bookkeeping and accounting knowledge; proficiency in QuickBooks required
*Skilled with Microsoft Office, Google Workspace, and Teams
*Excellent organization, communication, and leadership abilities
*Demonstrated success leading teams with fairness, consistency, and professionalism
*High attention to detail, accuracy, and follow-through
*Calm, approachable demeanor with the ability to build positive relationships across all levels of the organization
*Non-smoker; must maintain a professional and respectful office presence
